Job Description

A specialized engineering firm, located west of Pittsburgh, is seeking a Receptionist / Office Assistant.


  • Answer door and greet all visitors
  • Answer and route incoming calls
  • Receive and distribute mail and packages; prepare outgoing mail
  • Maintain office supply inventory; order supplies when needed
  • Assist with accounts payable, i.e. assign invoices to proper employees and answer calls from vendors seeking payment
  • Filing of purchase orders and invoices
  • Copy and/or scan documents and correspondence
  • Provide administrative support to include written and electronic communication
  • Prepare and edit correspondence, reports and presentations
  • Prepare materials for meetings
  • Assist Office Manager with meeting logistics: order food, prepare informational packets, coordinate room set-up, etc.
  • Keep conference room, supply room and kitchen clean, neat, organized and stocked
  • Make sure all printers are stocked with paper daily
  • May assist with setting up workstations by making sure employees have required office supplies

Job Requirements


  • HS Diploma and a minimum of 1-2 years of administrative experience within a professional office environment required
  • Proficient with MS Office, i.e. Word, Excel, PowerPoint, and Outlook; any experience with Syteline or related ERP software a plus
  • Familiarity with UPS, FedEx and
  • Must have professional verbal and written communication skills
  • Ability to multi-task and meet deadlines with positive attitude
  • Accurate and attention to detail
  • Ability to work in a team environment

Hours: Monday-Friday, 8:00am-5:00pm
